Understanding Payment Statuses

This article documents the Payment Record statuses and Invoice payment statuses directly observed in this capture.

Who this is for: Owners or staff who need to distinguish executed payment statuses from observed-only labels.

  • An existing synthetic Payment Record.
  1. Recorded (Payment Record status) — reached immediately after saving a new Payment Record via Save as Paid. Directly executed and observed in this capture.

  2. Unpaid (Invoice payment status) — the starting state of the synthetic Invoice before any payment, directly observed.

  3. Partially Paid (Invoice payment status) — directly observed on the synthetic Invoice after a partial Payment Record was applied, with the message that the invoice has a remaining balance.

  4. Paid (Invoice payment status) — directly executed and observed after the synthetic Invoice’s full remaining balance was paid, with the message that it was paid in full.

Void (Payment Record status) — observed on pre-existing synthetic Payment Records for the same approved Demo Customer / synthetic Invoice used in this batch. The void transition itself was not executed as part of this capture session; the Void status and its associated Void Reason and Voided At fields were reviewed on already-void records only.

A visible status is not proof that this capture executed the underlying transition. Filter labels (such as the Void tab in the Payments list) are not proof of executed transitions.
